Cleaning up Completed Activities
 

If you are utilizing ACT! as an activity management program, I am sure you have several hundred completed activities in your database.  This would be especially true if you are in a multi-user environment.  While it is proper to create activities as you follow through your sales process, you also need to be diligent with completed activities.  I would suggest every month, going in and removing these completed activities as to keep your database from running slowing. 

Note: Removing the completed activities does not remove the history you created when clearing the activity.
 

 
  How to Remove Completed Activities
1.  First thing you want to do is backup you data in case you do not properly remove the completed activities (File | Backup). 




2. Once you have backed up your database, you want to go into database maintenance: File | Administration | Database Maintenance:

Once the Database Maintenance dialog box opens, click on the Data Clean-up tab.  Check the box next to 'Cleared activities older than'.  The default time span is 60 days, and is generally a good rule of thumb.  Of course, you can modify this if you desire.  Once you have decided on the number of days, click the Remove Selected Items button, and you will see a status bar in the middle of your screen as ACT! cleans out your old cleared activities.  If this is the first time you have ever done this, and you have been using activities on a regular basis, you should see a speed increase in your ACT!, especially in the calendar areas.
