Emailing Activities to Contact Participants
 

When you schedule an activity with a contact in your ACT! database, you would like to send an email notifying the person about the upcoming meeting.  This can be done through the Advanced Options tab on the Activity dialog box.

 

 
  Sending an Email Regarding an Upcoming Meeting

1. Contact | Schedule Meeting

2. This will open the Schedule Activity dialog box to allow you to schedule your meeting as you would normally do.



3. Clicking on the Advanced Options tab will bring up some other options, including the option to Send e-mail message to activity participants.  Click this check box to have an email sent.

You have a few options as to the format in which the the attachment will be sent:

· ACT! activity. Select to use ACT! format when attaching the current activity to an e-mail message. Select this option to send the activity to other ACT! users.

· Internet standard format. Select to use the Internet standard format when attaching the activity to an e-mail message. Select this option to send the activity to non-ACT! users who use an application such as Microsoft Outlook.

· Attach using both formats. Select to use both ACT! and Internet format when attaching the activity to an e-mail message. Select this option to send the activity to a combination of ACT! and non-ACT! users.



4. Once you click the OK button, the E-mail window appears. The information in the activity’s Regarding field displays as the subject of the message. The schedule information, including details, appears in the body of the message, and the activity is attached so that recipients can merge it into their calendars.
